We take the privacy of all visitors to our Website, Facebook Page, JotForm and shoots very seriously and therefore set out in this privacy policy our position regarding certain privacy matters. This policy covers all data that is shared by a visitor with us whether directly via email or Facebook or our Current Booking/registration website (Bookwhen & JotForm)

1. Information we collect

In operating our Website, Facebook Page, Booking system and Jotform (registration form), mailchimp (newsletter sign up) we collect and process the following data:

Information that you provide by filling in forms, such as when you register to receive information or book to attend, this includes but is not limited to your name, contact telephone number and email address. These are recorded to ensure that you receive the best and most appropriate service for you and your family/event, as well as to invoice you, or as an emergency contact.
Information provided to us when you communicate with us for any reason.

We also (anonymously) monitor visitors to our sites so that, amongst other things we can see which sections are being viewed, how long for and where the visitors came from all of which is invaluable information for us in terms of developing the site and monitoring our performance.

2. Use of your information:

The information that we collect and store relating to you is primarily used to enable us to provide our services to you. In addition, we may use the information for the following purposes:

To provide you with information requested from us relating to our products or services.
To improve our products and services.
To periodically send, if you have opted in to receiving our promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided unless you have indicated otherwise.

3. Third Parties

We use different services for different things.

Wix are the current host for AB Photography’s website. Wix allows us to have a contact form, data entered on to here will only be used to reply to enquires and is held by Wix.

ShootProof is used for displaying client galleries; clients are required to enter their email address to view their images, ABPhotography will only use this address for the purpose of invoicing any potential orders.

JotForm helps us to capture all the information required, it also stores the forms you complete, securely and safely within in the EU. If you agree to receive our newsletter, we add your information onto Mailchimp to maintain an accurate marketing database for the purposes of our newsletters and event emails. However this database is only used by AB Photography and we will not share your information with any third parties for any reason unless covered by Law.

Our email service is provided by Gmail, which is governed by privacy shield - sufficient for the GDPR

If you book onto a Photoshoot using Bookwhen, then your data is held within Bookwhen’s databases. When booking in this way if you agree to receive our newsletter your details are added onto Mailchimp. If you contact us to arrange a booking you maybe directed to a JotForm registration form or if you sign up to our newsletter through our website/Facebook using Mailchimp.

As we use accounting software your name and your email are added onto it for the purposes of invoicing you. This data is held for the required (by HMRC) minimum of 6 financial years from the end of the financial year your last transaction occurred in.

If you make contact via social media, Twitter, Instagram, Facebook, they maybe based outside of the EEA however they are covered by the Privacy Shield.

4. Storing your personal data

We are committed to ensuring that your information is secure. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we store. However, as we use third parties to maintain and collect relevant information, our safeguards end where their services start. We ensure that our passwords sufficiently protect our accounts, we can’t and don’t hold all the data ourselves but on their servers, so their safeguards are in place.

We take care over the processes around looking after personal data stored on our physical systems. AB Photography holds the following personal data of clients: i) names ii) addresses iii) phone numbers within soft copy and sometimes hard copy contracts as well as soft copy wedding client ‘day plan’ documents. Soft copy contracts and day plans are safely stored within my password protected home office PC and backed up to two encrypted external hard drives. Hard copy contracts are filed in my secure home office.

You have the right to request a copy of the personal information that we hold about you. You can also request that any incorrect information about you be updated.

7. EU Cookie Directive

As you may have read the law has recently changed in relation to the use of Cookies. Hence why a pop-up banner appears on our site. However other websites, we are unable to instigate this therefore we have taken the view that currently we will provide information on the cookies we provide (as above) and advise users on how to change their browser settings to block cookies, please click here, to learn more about cookies from the AboutCookies.org. This will allow you to take control of cookies across all websites, not just on our websites.

8. Photograph’s

We provide you with a choice of whether you wish to receive a sneak peak or for your photos to be used in advertising if you opt out of these services, your photos will be held for 3 months as per our terms and conditions.

All photos are held securely and access to them is strictly controlled. As a third-party provider of online photo galleries shoot proof requires us provide an email address to send a personalised link and password for gallery access, you will be required to enter your email address and your password to access the gallery and place any orders. This link and password can also be shared with your friends and family as you wish, however please note that upon doing you take on the responsibility for ensuring that the data and photos are accessed and used appropriately, this will also allow them to place orders.

Sneak Peek:

If you opt and agree to a sneak peek appearing on social media, a photograph of the photographers choosing will be selected, watermarked and placed on social media. Your details in relation to the consent will be held indefinitely as the sneak peek will be indefinitely be available on social media until you tell us otherwise.
BY the nature of a sneak peek the photo would be a highlight of our work, and therefore will be to the highest quality required by social media and will be watermarked.

Advertising AB Photography:

If you agree to have photos taken and used by ABPStowmarket in promotion of our services on all media formats, to enable us to ensure accurate records your name, your telephone number, your email address and agreement will be held indefinitely unless you contact us to inform us otherwise.
If you opt to unsubscribe or do not subscribe to our newsletter this information is held separately to the photo permissions.
As more photos are taken the older ones naturally get used less so over time your photos may stop being used but will still be held.

By consenting to ABP Stowmarket using your photo/s in either sneak peek or for adverting, this includes but is not limited to Twitter, Facebook and Instagram who are outside of the EEA however they come under the privacy shield and therefore this is sufficient for GDPR regulations.
